(“Company”, “we”, “us”, or “our”) collects, uses, discloses, stores, and protects personal information in connection with DMS.cx and related services (the “Service”).

By using the Service, you agree to the practices described in this Privacy Policy.

  • the DMS.cx website and application;
  • account registration and authentication;
  • user communications and support requests;
  • billing and payment processes; and

2. Important Product Distinction

Due to the nature of the Service, there is a critical distinction between:

Encrypted Content

This may include:

  • message bodies;
  • file contents;
  • instructions;
  • titles and filenames; and
  • other user-submitted materials.

This data may be encrypted and not readable by the Company in normal operation.

Operational Metadata

This includes:

  • email address and username;
  • verifier and beneficiary contact details;
  • workflow configurations and schedules;
  • system activity logs and timestamps;
  • IP address and device data; and
  • billing and account status information.

Operational metadata is necessary for the Service to function and may be processed by the Company.

3. Information We Collect

We may collect the following categories of personal information:

Account Information

  • email address;
  • username;
  • authentication records;
  • account preferences; and
  • support communications.

Designated Contact Information

  • names and email addresses of verifiers, beneficiaries, and recipients;
  • records of communication and responses.

Workflow and System Data

  • encrypted payloads and related metadata;
  • file size, type, and timestamps;
  • workflow status and execution records;
  • audit logs and system events.

Device and Usage Data

  • IP address;
  • browser type and device identifiers;
  • session data and interaction logs;
  • security and diagnostic data.

Billing Information

  • subscription plan;
  • invoice records;
  • transaction status;
  • processor reference IDs.

We do not store full payment credentials when payments are handled by third-party processors.

4. How We Use Information

We use personal information to:

  • provide, operate, and maintain the Service;
  • authenticate users and secure accounts;
  • send OTPs, reminders, alerts, and workflow notifications;
  • execute verification and release workflows;
  • process payments, subscriptions, and support requests;
  • detect, prevent, and respond to fraud or abuse;
  • improve performance and develop features; and
  • comply with legal obligations and enforce agreements.

5. Legal Basis (Quebec and International Users)

Depending on applicable law, processing may be based on:

  • performance of a contract;
  • legitimate business interests;
  • compliance with legal obligations; or
  • your consent, where required.

By using the Service and providing personal information, you consent to its collection and use as described.

6. Disclosure of Information

The Company does not guarantee absolute security.
